AI voice agents for inbound calls: where they help, and where people should take over
An AI voice agent can answer every call, capture details and book appointments. Designed carelessly, it frustrates callers. Here’s how to scope one well.

Missed calls are one of the most expensive leaks in a service business: the caller usually rings the next company on the list. AI voice agents can now hold a natural conversation, answer common questions and book into a calendar. The question is not whether they can talk, but which calls they should handle.
Good first jobs for a voice agent
- After-hours and overflow calls that would otherwise reach voicemail.
- Booking, rescheduling and confirming appointments.
- Answering routine questions: hours, service areas, what to bring.
- Capturing details for a callback — name, number, address, urgency.
Calls that should reach a person
- Emergencies and anything involving safety.
- Complaints, billing disputes and upset callers.
- Clinical, legal or financial advice.
- Anything the agent is not confident about.
Design the handoff first: live transfer during staffed hours, an urgent task and text alert after hours, and a summary so nobody has to ask the caller to repeat themselves.
Disclosure, consent and recording
Callers should know they are speaking with an AI assistant. Recording and transcription rules vary by location, so the greeting and settings need to reflect where your callers are. Outbound calling is stricter still: in the United States, the FCC confirmed in a February 2024 declaratory ruling that AI-generated voices count as “artificial” voices under the Telephone Consumer Protection Act, which brings consent requirements. Inbound answering and outbound dialling are very different projects.
What it needs to know
A good agent works from a short, approved knowledge base: services, prices or price ranges you are happy to share, service areas, hours and booking rules. It connects to your calendar and CRM so bookings and summaries land where your team works.
How to measure it
- Answered-call rate, especially after hours.
- Bookings and qualified callbacks created.
- Handoff rate and the reasons behind it.
- Caller feedback and the calls your team reviews each week.
